Cowie Holdings Inc. (“we,” “us,” or “the Academy”) operates Cochrane Music Academy, Chestermere Music Academy, Beaumont Music Academy, Notable Music Academy, Fort Saskatchewan Music Academy, Skyview Music Academy, and any other music academies operated under Cowie Holdings Inc.

We are committed to protecting personal information and handling it responsibly, transparently, and in accordance with Alberta’s Personal Information Protection Act (PIPA). This Privacy Policy explains how personal information is collected, used, disclosed, stored, and protected when you interact with the Academy, enroll in lessons, use our student portal, or communicate with us.

We collect only the personal information reasonably required to operate our programs, administer lessons, and support student safety and service continuity.

Parent/guardian name (Policy Holder)

b) Student & Program Information

Age and instrument(s) studied

Lesson schedules and attendance history

Lesson notes for continuity of instruction

Teacher assignment information

c) Billing & Payment Information

Payment method details (processed securely through third-party payment providers; we do not store full credit card numbers)

Billing history, invoices, and transaction records

Portal access logs (including timestamps, IP addresses, and user IDs) used for account security and dispute resolution

d) Communications

Emails, text messages, and support inquiries

Requests related to scheduling, cancellations, LessonMate delivery, or account administration

e) Limited Health-Related Information

Information voluntarily shared by families (for example, a student being ill and unable to attend in person)

This information is used solely to manage lesson delivery and scheduling and is not used for medical assessment or maintained as formal medical records.

f) LessonMate Video Lessons

LessonMate recordings contain video and/or audio of the instructor only

Students are not recorded

LessonMate recordings are used solely to deliver instructional content when an in-person lesson does not proceed

g) Video Security Surveillance (Limited Areas)

Some studio locations use video-only security cameras for safety and property protection

Cameras do not record audio

Cameras are not used to evaluate instructional performance

Footage is accessed only when reasonably required for safety, security, or dispute resolution purposes


2. How We Use Personal Information

We use personal information only for legitimate business purposes, including:

Delivering private music instruction and managing student enrollment

Scheduling lessons, substitutes, and instructor transitions

Providing LessonMate video lessons and instructional materials

Processing payments, managing billing, and maintaining account records

Managing cancellations, late cancellations, no-shows, and makeup lessons

Handling chargebacks, payment disputes, fraud prevention, and account enforcement consistent with Academy policies

Communicating with families regarding lessons, schedules, policies, and updates

Sending promotional communications where consent has been provided (you may unsubscribe at any time)

Supporting student safety, studio security, and service continuity

Improving operations, systems, and client experience

Meeting legal, accounting, insurance, and regulatory obligations


3. Disclosure of Personal Information

We do not sell or rent personal information.

Personal information may be shared only in the following limited circumstances:

Instructors

Instructors receive only the information necessary to teach and support continuity (such as student name, schedule, instrument, and lesson notes).

Service Providers

We use trusted third-party providers to assist with:

Payment processing

Scheduling and student portal systems

Communications and CRM platforms

IT support and secure data hosting

Personal information may be stored on secure servers located in Canada or the United States. These providers are contractually required to safeguard information and use it only for authorized purposes.

Collections & Legal Support (if required)

Limited information may be disclosed to collections agencies or legal counsel if an account remains unpaid or a dispute requires enforcement, consistent with Academy policies and applicable law.

Legal or Safety Requirements

Where required or permitted by law (e.g., court orders, regulatory requirements, or safety concerns).


4. Consent & Minors

Enrollment in lessons and use of Academy services constitutes consent to the collection, use, and disclosure of personal information as described in this policy.

For students under 18 years of age, consent is provided by the parent or legal guardian (the Policy Holder), who acts on behalf of the minor.

Consent for marketing communications may be withdrawn at any time by unsubscribing or contacting the Academy.


5. Security Safeguards

We take reasonable administrative, technical, and physical measures to protect personal information from unauthorized access, loss, misuse, or disclosure.

These safeguards may include:

Secure third-party payment processing systems

Controlled access to internal systems

Password-protected and encrypted platforms where available

Confidentiality expectations for staff and contractors

No system is completely risk-free; however, we take privacy and data protection seriously and respond promptly to any concerns.

In the event of a privacy breach that poses a real risk of significant harm, we will comply with applicable reporting obligations under Alberta law.


6. Retention of Information

Deliver services and support student continuity

Maintain accurate business, billing, and account records

Manage disputes, chargebacks, and account history

When personal information is no longer required for these purposes, it will be securely deleted, destroyed, or anonymized in accordance with applicable law and reasonable business practices.

Security footage and LessonMate recordings are retained as part of operational records and may be reviewed only when necessary for safety, service delivery, or dispute resolution. Retention periods may vary depending on operational, legal, or dispute-related needs.


7. Access, Corrections & Requests

Policy Holders may request access to, or correction of, their personal information by contacting the Academy.

Requests will be handled in accordance with PIPA and may require identity verification. Certain records may be retained where required by law or legitimate business purposes.


8. Policy Updates

This Privacy Policy may be updated from time to time to reflect changes in operations, technology, or legal requirements.

Updates will be posted through official Academy communication channels. Continued enrollment or participation after updates are published constitutes acceptance of the revised policy.
