
Studio Policy - Updated Feb 2026
This Studio Policy applies to Cowie Holdings Inc., operating as Cochrane Music Academy, Chestermere Music Academy, Beaumont Music Academy, Notable Music Academy, Fort Saskatchewan Music Academy, Skyview Music Academy, and any other music academies currently or subsequently operated by Cowie Holdings Inc.
1. Enrolment Cancellation
To cancel enrolment, a minimum of 30 days’ written notice is required. A Student Change Request form is required, and the 30-day notice period begins only once the completed form is submitted and received by the Academy.
Lessons scheduled during the notice period remain payable and available in accordance with the student’s regular schedule and the Academy’s delivery options.
There are no additional cancellation fees; however, the 30-day notice period is mandatory and billing continues throughout this period.
If an account was previously placed on hold, the 30-day cancellation notice period begins on the date the account is reactivated, not the original hold date. No retroactive cancellations, credits, or refunds apply during or after a hold period.
Only the individual who enrolled the student and provided payment authorization (the “Policy Holder”) may request, approve, or modify cancellations or account changes.

2. Lesson Cancellations & Makeups
2.1 Late Cancellations (Less Than 48 Hours’ Notice)
If a lesson is canceled with less than 48 hours’ notice, the following options are available:
Video Lesson Recording (“LessonMate”): May be requested through the student portal at any time prior to the scheduled lesson start.
Lesson Transfer: Another individual within the same household may attend the lesson in place of the enrolled student, with no prior notice required.
Late Cancellation: If none of the above options are used, the lesson may be canceled through the student portal. Lessons canceled with less than 48 hours’ notice are forfeited and remain payable.
Missed Lessons & No-Shows:
If a student does not attend a scheduled lesson and fails to cancel through the portal prior to the lesson start time, the lesson is considered a no-show. No-show lessons are forfeited and are not eligible for makeups, credits, or rescheduling.
2.2 Early Cancellations (More Than 48 Hours’ Notice)
A makeup lesson is issued.
Makeup lessons can be used with any teacher at any location.
Makeup lessons are self-scheduled through the student portal (up to 10 days in advance).
Makeup lessons can only be used with an active enrolment that includes weekly lessons.
Makeup lessons are valid for 60 days from the date issued.
Makeup lessons cannot be used in place of regular lessons, and weekly lessons cannot be placed on hold for makeup use.
Makeup lessons cannot be rescheduled once booked and are forfeited if missed or canceled.
Makeup lessons cannot be exchanged for cash, credits, refunds, or compensation.
2.3 Instructor/Academy-Initiated Changes & Expiry Rules
Where a lesson cancellation or reschedule is initiated by the Academy or instructor, a makeup lesson may be issued without a 60-day expiry limitation (i.e., no expiry while the student remains enrolled), at the Academy’s discretion.
All makeup lessons expire immediately upon enrolment cancellation, including any unused makeups from previous months.
Makeup lessons have no cash value, are non-transferable, and cannot be converted to refunds, credits, or compensation after enrolment ends.
3. Billing
Billing begins on the day of registration and secures the student’s weekly lesson time. Ongoing billing occurs on the 1st of each month. Monthly charges may vary slightly depending on the number of lesson days in the month and scheduled holidays. A one-time registration fee of $29 per student is applied on the first bill.
Billing is calculated based on scheduled lesson availability, taking into account the number of lesson days in the month and any studio closures.
All lesson payments are non-refundable. Refunds or partial credits are not provided for missed lessons, late cancellations, mid-month cancellations, or unused makeup lessons.
Holiday Schedule:
Our studios observe the Alberta provincial bank holiday schedule. Lessons are not scheduled on these holidays, and billing is adjusted automatically where applicable. Some optional holidays remain open. Please refer to your student portal for your exact schedule.
Non-Payment & Account Suspension:
If a scheduled payment fails or is declined, the account is considered past due. During any period of non-payment or unresolved balance, the Academy may suspend access to lessons, makeup credits, and account features. Lessons scheduled during a suspension are forfeited and not eligible for makeup, credit, or refund.
Billing continues unless a formal 30-day enrolment cancellation is submitted in accordance with Section 1.
4. Health and Safety
Students showing signs of illness (including coughing, sneezing, runny nose, sore throat, fever, or chest discomfort) should avoid attending in-person lessons.
Where appropriate, the Academy may offer an alternative lesson format, such as a video lesson (“LessonMate”), in place of the in-person lesson.
Instructors are not required to provide in-person instruction to a student who appears unwell. Where an instructor determines that proceeding in person is not appropriate for health or safety reasons, the lesson will be delivered via LessonMate or another approved video format.
Lessons delivered via LessonMate are considered fulfilled lessons and do not qualify for refunds, credits, or makeups.
5. Emergency Closures
The Academy may cancel or reschedule lessons due to emergencies, public health orders, power outages, extreme weather, or facility-related issues.
In such cases, the affected lesson will be handled by issuing a makeup lesson and/or providing a LessonMate option where available. Refunds will not be provided.
6. Terms of Use & Policy Updates
Cowie Holdings Inc. may update or modify its studio policies, terms, and procedures from time to time. Updates will be published through the student portal and/or communicated to the Policy Holder via official communication channels. Continued enrolment after updated terms are published constitutes acceptance.
